Job Description

Finance Officer 100% – short-term contract from December 2016 to June 2017 (maternity leave replacement)

 

Drugs for Neglected Diseases initiative (DNDi) is a not-for-profit foundation, based in Geneva (Switzerland). Its main objective is to develop new treatments for people suffering from neglected diseases such as Leishmaniasis, Trypanosomiasis, Chagas disease, Filarial, HIV paediatric and HCV. The 2016 budget is estimated at EUR 51 million.

To achieve its main objective, DNDi has set up its headquarter in Geneva and various Regional Offices (RO) in the Americas (Rio de Janeiro and New-York), Asia (Kuala Lumpur, Tokyo and New Delhi), and Africa (Nairobi and Kinshasa).

 

Main Responsibilities

The Finance Officer (FO) will be a key person in the implementation of a new accounting process replacing the current credit cards. The FO will ensure a smooth transition period between processes and will be responsible of booking the remaining credit card expenditures. The FO will contribute to the closing of accounts and preparation of the annual statutory and donor audits. The FO will be in charge of booking travel/expense claims, bank reconciliations, petty cash management and other accounting activities as the need may arise.

 

Dimension of the position

S/he will report to the Accounting Manager. This is a short-term position for 7 months at 100% (maternity leave replacement). This position involves frequent interactions in both English and French with:

  • Internal stakeholders: global team, notably Research & Development, Advocacy & Communication, Fundraising and Regional Offices (RO) colleagues;
  • External stakeholders: bank, suppliers.

 

Specific tasks

Credit Cards management

  • Implementation and follow-up of the new process and ensure a smooth transition period in between processes;
  • Interaction with the bank for the cancellation of credit cards;
  • Provide training and support to staff with respect to the new process;
  • Collect and control monthly supporting documents (receipts, orders, invoices) related to remaining credit cards. Monthly booking of credit card transactions and their corresponding analytical codes;
  • Investigate in case of suspicion of Fraud and liaise with the bank or line manager to claim back unidentified withdrawals.

Booking travel/expense claims

  • Design and implementation of new tools related to travel/expense claims and follow-up of advances;
  • Check that travel/expense claims have been properly completed and approved. Ensure the internal travel and advance procedures are respected;
  • Check analytical project allocations;
  • Make sure expenses are reported within the correct fiscal year;
  • Book travel agency invoices.

Participate in the annual closing of DNDi’s accounts

  • Maintain inventories of RO;
  • Allocation of indirect costs;
  • Collect information regarding the stock of drugs and account for it;
  • Make sure all inventories are up-to-date;
  • Ensure accruals are correctly accounted for. Follow-up to make sure accruals are settled within the following year;
  • Contribute to the preparation of the annual report.

Petty Cash Management

  • Keep track of petty cash expenditures and prepare the monthly journals in Navision;
  • Perform a monthly inventory of the petty cash (in 4 currencies);
  • Anticipate cash-flow needs in each currency and perform replenishments accordingly;
  • Follow-up on open advances.

Other activities

  • Management of per diems during global meetings;
  • Interaction with suppliers when necessary to follow up on payments or incorrect bank details.

Qualifications

  • University Degree or HEG graduated + at least 2 years’ experience.
  • Swiss GAAP knowledge is a considerable plus.

Experiences

  • At least 4-year experience as an accountant ideally in a non-profit organization or international organization and with people from different cultural backgrounds;
  • Experience with multiple currencies and analytical accounting.

Knowledge

  • Good knowledge of French and English;
  • Good knowledge of IT tools (Word, Excel, Outlook);
  • Knowledge of ERP Microsoft Dynamics NAV (Navision) is an asset;
  • Rigorous, detail oriented, organized and autonomous, flexible, capable of respecting deadlines.
