The Drugs for Neglected Diseases initiative (DNDi) is a collaborative, patients’ needs-driven, non-profit drug research and development (R&D) organization that is developing new treatments for neglected diseases (www.dndi.org).

The Operations department was created in 2011 to help the Executive Director focus on strategic activities. It coordinates DNDi infrastructure globally (finance, operational and strategic planning, human resources, information systems and technology, legal structuring, risk management, and organizational development) and supports decision-making and flows of information across the organization. It also provides oversight to business development and legal activities and liaison offices.

 

Purpose of the position

The Accounting Assistant will be mainly responsible for the follow-up of credit card and travel authorizations, and travel expenditure booking. In addition, s/he will support the Finance team for day-to-day activities and the closings of accounts.

 

Specific job responsibilities

Booking travel expenditures (10-15%)

  • Check that travel requests have been properly completed and correctly approved
  • Check analytical allocation (per project) of the expenses
  • Make sure expenses are reported within the correct fiscal year
  • Make sure the travel policy is well implemented across offices (for individual and groups for internal meetings and conferences)
  • Book travel agency invoices

Credit card management (10-15%)

  • Manage relationship with the bank to order/cancel credit cards
  • Investigate in case of suspicion of fraud and liaise with the bank to claim unidentified expenses.
  • Collect and control monthly supporting documents (receipts, orders) related to credit card expenditure
  • Book monthly all the credit card transactions in the accounting software

Other accounting tasks (5%)

  • Book the Swisscom monthly invoice and check the analytical allocation (per project) of the expenses

Year-end closing tasks (25%-30%)

  • Assist the Accounting team in the closing tasks and preparation of the statutory and donor audits (e.g. audit documentation)

Contribute to the development of IT integrated tools for finance and accounting (20%)

  • Support the team in the design and the implementation of new tools related to travel expenditure (tests and scanning)
  • Contribute to the de-materialization of finance supporting documents (scanning module) – tests and scanning

General (15%)

  • Filing of documentation
  • May assist the Finance team in other day-to-day activities as and when needed

 

Reporting line

  • S/he reports to the Senior Accountant Manager

Experience
